Refund Cancellation

At NoteArch, we are committed to providing a seamless experience for all users of our AI-powered Intelligent Academic Lifecycle Management System (IALMS), including students, teachers, parents, tutors, administrative staff, financial supporters, and job providers. This Refund and Cancellation Policy outlines the terms under which you may cancel your subscription or access to NoteArch’s services (the “Services”) and request a refund, if applicable. This policy aligns with our Terms and Conditions, Student Terms and Conditions, Teacher Terms and Conditions, and privacy policies.

1. Scope of the Policy

This policy applies to individual users or institutions who have subscribed to NoteArch’s paid Services, if any, such as premium features or institutional licenses. Free accounts or institution-provided access may not involve direct payments to NoteArch, and thus, refunds may not apply unless specified by your institution.

2. Subscription and Payment Terms

  • Free Access: NoteArch may offer free access to certain features or for specific users (e.g., students, teachers) through institutional agreements. Free accounts are not eligible for refunds but may be canceled at any time.

  • Paid Subscriptions: If you or your institution have subscribed to a paid plan (e.g., for premium AI features or administrative tools), payments are processed through secure third-party payment providers. Subscription details, including fees and billing cycles, are provided at the time of purchase.

  • Billing Cycles: Paid subscriptions may be monthly, quarterly, or annual, as agreed upon at signup. Automatic renewals apply unless canceled before the renewal date.

3. Cancellation Policy

You may cancel your subscription or account at any time, subject to the following:

  • Individual Users:

    • To cancel, contact NoteArch Support at support@notearch.com or use the account management settings in the platform.

    • Cancellation takes effect at the end of the current billing cycle. You will retain access to paid features until the cycle ends.

    • For students under 18, cancellation may require parental or institutional approval, as outlined in the Student Terms and Conditions.

  • Institutional Users: Schools or organizations must contact their NoteArch account manager or support@notearch.com to cancel institutional licenses. Cancellation terms may depend on the contract with the institution.

  • Data Handling: Upon cancellation, your data will be deleted per our System Privacy Policy, Student and Parent Privacy Policy, or Teacher and Staff Privacy Policy, subject to legal retention requirements (e.g., academic records under FERPA).

4. Refund Policy

Refunds are subject to the following conditions:

  • Free Trial Periods: If NoteArch offers a free trial, no charges apply during the trial. You may cancel before the trial ends to avoid charges. No refunds are provided for trial periods.

  • Paid Subscriptions:

    • Individual Subscriptions: If you are an individual user with a paid subscription, you may request a refund within 14 days of your initial purchase (the “Refund Period”) for any reason, provided you have not extensively used premium features (e.g., AI analytics, advanced reporting). Refunds are issued to the original payment method.

    • Annual Subscriptions: For annual plans, refunds within the Refund Period are prorated based on the unused portion of the subscription, minus any applicable fees.

    • No Refunds After Refund Period: After 14 days, no refunds are provided for cancellations, but you may cancel to prevent future charges.

  • Institutional Subscriptions: Refunds for schools or organizations are subject to the terms of the institutional agreement. Contact your NoteArch account manager or support@notearch.com for details.

  • Non-Refundable Cases: Refunds are not available for:

    • Free accounts or services provided through institutional agreements.

    • Subscriptions canceled after the Refund Period.

    • Partial use of premium features that prevent fair refund eligibility (e.g., extensive data exports).

    • Fees imposed by third-party payment providers.

5. How to Request a Refund or Cancellation

To request a cancellation or refund:

  1. Contact NoteArch Support at support@notearch.com or via the platform’s support portal.

  2. Provide your account details (e.g., registered email, institution name) and reason for the request.

  3. For refunds, submit your request within the 14-day Refund Period, if applicable.

  4. Our team will review your request and respond within 5 business days. Refunds, if approved, will be processed within 10 business days to the original payment method.

6. Exceptions

  • Technical Issues: If you experience persistent technical issues that prevent use of the Services and NoteArch cannot resolve them within a reasonable time, you may be eligible for a prorated refund, even after the Refund Period, at our discretion.

  • Legal Requirements: If applicable laws (e.g., consumer protection regulations) require a longer refund period or different terms, NoteArch will comply with those laws.

7. Impact on Data

  • Upon cancellation, access to the Services ends at the close of the billing cycle or immediately for free accounts, unless otherwise specified.

  • Data will be deleted per our privacy policies, subject to legal requirements (e.g., retaining student records under FERPA). You may request a data export before cancellation, as outlined in the Student and Parent Privacy Policy or Teacher and Staff Privacy Policy.

8. Modifications to This Policy

NoteArch may update this Refund and Cancellation Policy to reflect changes in our Services or legal requirements. Users will be notified via email or platform announcements at least 30 days before changes take effect. Continued use of NoteArch after changes constitutes acceptance of the updated policy.
